This Privacy Policy explains how ORZEQ LLC(“ORZEQ,” “we,” “us”) handles information in connection with the ORZEQ mobile application, our website, and related services (together, the “Service”). ORZEQ is a relationship-intelligence product for professional account managers.
ORZEQ is currently offered as an early-access beta. This is our initial Privacy Policy, written to describe how the product actually works today; we will update it as the product evolves.
1. Introduction
ORZEQ helps account managers capture what happened after a customer interaction and turns it into an organized, durable record. You provide information — by creating an account, adding the customers you work with, logging interactions, and (optionally) recording a voice note — and ORZEQ uses that information, together with AI, to produce transcripts, summaries, and relationship insights. This Policy describes what we collect, how we use it, who processes it on our behalf, and the choices available to you.
4. Voice Recordings and Transcription
Voice capture is always initiated by you, and the microphone is used only while you are recording. When you record a voice note:
- the audio is uploaded to secure cloud object storage operated by a service provider on our behalf;
- to create a transcript, the audio is sent to our transcription provider (OpenAI), which converts speech to text;
- the resulting transcript and any AI intelligence derived from it are stored durably as part of your relationship record.
Raw audio and transcripts are distinct layers. The transcript (and the intelligence derived from it) is the durable record; the raw audio is the source material used to produce it.
Retention, described honestly. Today, ORZEQ does not automatically delete raw audio on a fixed schedule after transcription, and we do not promise a specific deletion window. Raw audio is removed when you re-record or remove a recording in the app, and both raw audio and other information can be deleted on request as described in Data Deletion and Your Choices. We are working toward more granular, automated retention controls.
5. Artificial Intelligence Features
ORZEQ uses AI to organize and synthesize information you submit. AI is used to produce transcripts, summaries, key takeaways, explicit commitments, suggested Next Actions, relationship snapshots, and answers to your Ask ORZEQ questions. Please keep the following in mind:
- AI output can be inaccurate, incomplete, or inappropriate. You should review AI-generated content before relying on or acting on it.
- AI recommendations are suggestions, not guaranteed facts, and ORZEQ is not a substitute for your own professional judgment.
- ORZEQ does not independently enter into commitments on your behalf. A suggested Next Action becomes a stored Next Action only when you approve it.
- AI intelligence is derived from your source material and is kept separate from that source material; generating or regenerating intelligence does not overwrite your transcripts or notes.
- Customer import. When you import customers from a photo or screenshot or by pasting text, that input may be processed by our AI provider to extract customer details for you to review. Structured files such as CSV are parsed directly and are not sent to the AI provider. In every case, imported customers are added to your records only after you review and confirm them — nothing is created automatically. The photo, pasted text, or file you provide is used to extract that information and is not stored by ORZEQ as part of your customer records.
To provide these features, the relevant content (for example transcript text, interaction summaries, and photos or text you submit for customer import) is processed by our AI provider (OpenAI) as described in Service Providers.
Information sent to OpenAI. When you enable and use these AI features, ORZEQ may send the following information you provide to OpenAI for processing:
- voice recordings and audio you record;
- transcripts generated from that audio;
- interaction notes you write;
- customer relationship context, including customer names where needed to produce grounded, customer-specific intelligence;
- images or lists you submit for AI-assisted customer import; and
- the questions and prompts you ask ORZEQ.
This information is sent to OpenAI to provide transcription, summaries, relationship intelligence, Morning Brief, Ask ORZEQ, customer-import extraction, and related AI-powered features. OpenAI processes this content as a service provider to provide these features to ORZEQ, as described in Service Providers.
Your permission and choice. ORZEQ asks for your permission before sending your personal or customer information to OpenAI for AI processing. You can decline, and ORZEQ will not send your information to OpenAI for these features. You can change your AI-processing choice at any time in ORZEQ’s Data & Privacy settings; declining later stops future information from being sent to OpenAI, and content that has already been processed and stored in ORZEQ remains until you remove it through existing product controls or delete your account.
7. Early Access / Website Information
Our website offers an Early Access waitlist form that collects your first name, last name, and email (required) and your company and role (optional). We use this information to contact you about the Early Access pilot and product updates. Submitting the form does not create an ORZEQ product account. We record the source of a signup (for example, that it came from our homepage) to understand where interest originates.
8. Service Providers
We rely on a small number of service providers that process information on our behalf so we can operate the Service. By function, they are:
- Authentication and identity — used to create and secure accounts (your name and email).
- Speech-to-text and AI processing — used to transcribe voice recordings, generate AI intelligence, and extract customer details from unstructured import inputs (receives the relevant audio, text, and image content).
- Cloud object storage — used to store voice recording audio.
- Application and database hosting — used to run the ORZEQ API and store your account, customer, interaction, transcript, and intelligence data.
- Website hosting — used to serve our website and to relay Early Access signups to us.
- Mobile app build and distribution — used to build the app and distribute beta builds. These providers handle the app itself and platform-level information; they do not receive the customer, interaction, or voice content you log in the app.
- Email and communications — used to send account, onboarding, support, Early Access, and product-update messages (receives your email address and the content and metadata of those messages).
- Push notifications — used to deliver the notifications you enable (receives your device push token and the notification content sent to your device).
These providers are permitted to use information only to provide their services to us. We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
9. Data Retention
We retain information for as long as reasonably necessary to provide the Service, maintain your account, meet legal obligations, resolve disputes, and enforce agreements, subject to the product-specific practices described here.
- Account, customer, and interaction information, transcripts, and derived AI intelligence are retained on a durable basis while your account is active, until deleted as described below.
- Raw voice audio is retained in cloud storage and is not automatically deleted on a fixed schedule today; it is removed when you re-record or remove a recording, or on request.
- Ask ORZEQ questions and answers, and on-demand customer briefs, are generated on demand and are not stored as durable records (the underlying information they draw on is stored, as described above).
- Customer import inputs — a photo, pasted text, or an uploaded file used to import customers — are processed to extract details for your review and are not stored by ORZEQ as durable records. Only the customer records you review and confirm are stored.
- Early Access leads are retained while we operate the waitlist and pilot program.
- Operational logs are retained for a limited period for reliability and security.
We have not yet established a fixed, formal retention schedule for every category. As we do, we will update this Policy.
10. Data Deletion and Your Choices
- Access and update. You can view and update your profile and the customer and interaction information you have entered within the app.
- Delete individual items. You can remove customers, interactions, and voice recordings within the app.
- Account deletion. You can delete your ORZEQ account directly from the ORZEQ mobile app (Profile → Data & Privacy → Delete Account). After you re-confirm your identity, deletion permanently removes your ORZEQ account and the product data associated with it — including your customer records, interactions and notes, Next Actions, transcripts, AI-generated relationship intelligence, voice recordings, and your settings and profile — from our application database, our voice-audio object storage, and our authentication provider. Some information may be retained where reasonably necessary for legal, security, fraud-prevention, or transaction purposes, and residual copies may persist briefly in routine backups before they age out. You can also contact us at hello@orzeq.com for privacy or data requests.
- Early Access and other separately collected records. Some information is collected outside your ORZEQ product account — for example, the Early Access / waitlist form on our website, or support and legal correspondence. This information is stored separately from your ORZEQ product account and is not necessarily removed when you delete your app account. It may be retained where appropriate for the purpose for which it was collected, and it is subject to separate deletion on request. You can ask us to remove it at any time by contacting us at hello@orzeq.com.
- Early Access communications. You can ask us to remove you from Early Access communications at any time by contacting us.
- Apple subscriptions. Deleting your ORZEQ account does not cancel an Apple subscription. If you have an active subscription, manage or cancel it through Apple. See our Terms of Use for details.
11. Data Security
We use reasonable technical and organizational measures to protect information, including authentication for account access, encrypted transport (HTTPS) for data in transit, and access controls that scope your data to your account. No method of transmission or storage is completely secure, and — particularly during beta — we cannot guarantee absolute security. This Policy does not claim any specific security certification or compliance status.
12. Children’s Privacy
ORZEQ is a professional, work-oriented product intended for use by adults in their professional capacity. It is not directed to children, and we do not knowingly collect personal information from children under the applicable minimum age. If you believe a child has provided us information, please contact us so we can address it.
13. International Users
ORZEQ is operated in the United States, and the service providers that process information on our behalf may store and process it in the United States and other locations. If you access the Service from outside the United States, you understand that your information may be processed in the United States, where privacy laws may differ from those in your location.
14. Subscription and Purchase Information
If you purchase an ORZEQ Core subscription, we handle a limited amount of purchase and subscription information to provide and manage your subscription.
- Apple processes your payment. We do not receive or store your Apple ID password, your full Apple ID credentials, or your credit-card or other payment-card numbers.
- To provide and manage your subscription, we receive and store limited purchase and subscription information from the App Store, such as which subscription product you purchased, your current subscription status and renewal state, and the information Apple provides to confirm and update your access.
- We use this information to verify purchases, determine your access to paid features, keep your subscription state up to date, and prevent the same subscription from being linked to more than one ORZEQ account.
- Apple’s handling of your payment and App Store account information is governed by Apple’s own privacy policy and terms.
15. Changes to This Policy
We may update this Policy as ORZEQ evolves. When we do, we will revise the “Last updated” date above, and we will provide additional notice where appropriate for material changes.
